An agent that reads every Contact Sales email, qualifies it and files it in HubSpot

Function: SalesEffort: About a weekPublished: 2026-10-14

The problem

Inbound enquiries land in a shared inbox and sit for hours before anyone reads them, and half the details (company, headcount, what they actually want) are missing. By the time a salesperson replies, the lead has emailed two competitors.

How the agent works

A new email in the sales inbox triggers the agent. It reads the message and any form fields, looks up the sender's domain to identify the company and country, and classifies the request (new licence, migration, renewal, support). It creates or updates the HubSpot contact and company, sets Lead source and the product of interest, and drafts a reply in the company's tone that asks only for the details still missing. A salesperson reviews the draft and sends it; nothing goes out unreviewed. The agent posts a one line summary in Slack so the team sees new leads within minutes.

Worked example

Digigen runs this pattern on its own Contact Sales inbox for Google Workspace and Microsoft 365 enquiries from Thailand and Singapore. Each enquiry is classified, filed in HubSpot with the right lead source, and answered with a reviewed draft the same working day.

PDPA note. Enquiry emails contain personal data. Keep the agent's processing inside systems you already hold the data in (your mailbox and CRM) and state the purpose in your privacy notice.

Run this in your business

Digigen's AI Workshop and Solution Design package takes a use case like this from idea to a working build: a half day workshop with your team (THB 25,000) or ten days of discovery, prioritisation and solution design (THB 160,000, credited against the build).

The company page goes quiet for weeks because nobody has time to write posts, and when someone does, it sounds like a press release. Consistency, not brilliance, is what the algorithm rewards.
