The AgentivUse cases

An agent that reconciles the month against Stripe, card spend and payroll, flags every mismatch and writes the close packet for your accountant

Function: FinanceEffort: About a weekPublished: 2026-10-17

The problem

Month end in a small company means the owner or one admin exports the bank, the payment processor and the payroll run into separate sheets and hunts for why the totals do not match. The accountant gets the files a week late with questions still open, and the P&L arrives too late to change anything.

How the agent works

On the first working day of the month the owner opens Claude Cowork and runs the close for the previous month, or simply asks it to close September. The agent pulls the books from Xero or QuickBooks, settlements from Stripe or Square, card spend from Ramp or Expensify and the payroll run from Gusto, and reconciles them against each other. Every mismatch is flagged down to the single transaction with a suggested explanation. It then writes a plain language P&L and assembles a close packet (reconciliations, open items, the P&L) in Google Drive for the accountant. Nothing is posted or paid: by default the agent waits for approval before anything sends, posts or pays, and the owner or accountant clears each flagged item. A manual adjustment that recurs can be saved as a repeatable step for next month's close.

Worked example

Anthropic's Claude for Small Business release (15 September 2026) ships this as the close-month workflow: it reconciles the books against sales settlements, card spend and payroll, flags mismatches down to the transaction, writes a plain English P&L and creates a close packet for the accountant, with Xero, QuickBooks, Stripe, Square, Gusto and others as connectors. HireEffect, a Dallas bookkeeping and HR firm quoted in the post, used it to isolate the 16 transactions behind a USD 13,000 discrepancy and cut a monthly reporting task from two hours to about ten seconds. Without connectors the owner uploads bank and processor statements instead.

PDPA note. Payroll data from Gusto and card statements contain employee and customer personal data. Keep the close packet in a restricted Drive folder, give the agent read access only to the accounts it needs, and confirm with your accountant which Thai or Singapore filings (for example withholding tax forms) still need a licensed signature.

An agent inside Excel that audits the monthly management accounts workbook, finds formula errors and anomalies, updates assumptions without breaking links and shows every change as a highlighted cell before you accept it

FinanceEffort: An afternoonExcel · Claude for Excel · Microsoft 365

The monthly management accounts live in a workbook that has grown for five years: one sheet links to another, someone overwrote a formula with a number in March, and the budget versus actual tab quietly stopped matching the P&L. The finance manager finds out when the owner asks why the margin jumped, and spends an evening tracing cells.

An agent that reads invoices dropped in a shared Drive folder, extracts the fields into a Google Sheet and queues them for approval

FinanceEffort: An afternoonGoogle Drive · Google Sheets · Gmail

Supplier invoices arrive as PDFs by email and LINE and someone retypes the number, date, amount and due date into a spreadsheet before the accountant sees them. Typos slip through, due dates get missed and month end starts with a hunt for the invoices nobody logged.

An agent in Outlook that sorts the unread inbox into what needs you, drafts the replies it can handle and writes a one page brief before each meeting

OperationsEffort: An afternoonOutlook · Claude for Outlook · Microsoft 365

A manager on Microsoft 365 starts the day with eighty unread emails, half of them calendar responses and newsletters, and the three that need a decision are buried. Meeting prep means scrolling back through threads with each attendee, so people walk in without knowing what was last agreed.
